User’s Guide for TESOL Quarterly CD-Rom is a database only, consisting entirely of PDF files. In order to be functional, it must be viewed with Adobe Acrobat Reader. The TQ CD is compatible with Windows, MAC, and Unix platforms but some limitations apply depending on your Operating System version. Adobe Reader is freely available at http://www.adobe.com/products/acrobat/readstep2.html However, you must first choose the version that is compatible with your OS. Also, please be sure and choose the FULL version so that you have the most efficient search engine. Version 7.0 of both WIN and MAC platforms are included on your TQ CD for your convenience. You can install them from the CD.
Here is a list of platforms and their corresponding Adobe Reader versions:
Adobe Reader is NOT backward compatible in all cases. You must use Reader 6.01 or 7.0 with a Windows OS to access the search function on the CD. You must use Reader 7.0 with a MAC to access the full search function.
If you have an older OS that is not compatible with the newer versions of Adobe Reader, please contact us and we can ship a special version of TQ CD-Rom that will function with your system. However, please be aware that the MAC Adobe Reader version 5.05 does not include the fastest and most efficient search engine functionality.
The TQ CD-Rom 2005 version is fully compatible with all Windows OS later than 98 SE. It is fully functional with MAC OS 10.28 and later. If your OS is older than MAC 10.28 or Windows 98 SE and you have no plans to upgrade, please contact us for our special version.
INSTALL ADOBE READER
First install Adobe Reader. There are MAC and Windows versions included on this CD. Version 7.0 of both are included in the folders labeled AdobeMAC and AdobeWIN. Double-click the appropriate folder to open Reader, then double-click the file to begin the installation process. YOU MUST UNINSTALL ANY PREVIOUS VERSIONS OF ADOBE READER PRIOR TO INSTALLING THE 7.0 VERSION. Adobe Reader is also freely available at http://www.adobe.com/products/acrobat.readstep2.html Be sure and choose the FULL version if you choose to download.
MAXIMIZE THE FUNCTIONALITY OF ADOBE READER
If you are not experienced with Adobe Reader, there are a few things you can do to get the fastest and most efficient use of the navigational and search functions. The most important is to set the PREFERENCES in Reader to fit your needs. Go to EDIT in the menu bar and select PREFERENCES (Adobe Reader menu in MAC). There you will see a list of functions. The most important is search. Set the “Maximum Number of documents returned in Results” to 200 (default is 100). Make sure the “Enable Fast Find” box is checked and cache size is set to 20 MB. Set other functions to suit your specific needs. Consult the Adobe Reader Help file for more detailed information.
HEIRARCHICAL STRUCTURE OF TQ CD-ROM
For easier navigation, familiarize yourself with the structure of the CD contents. In the folder TDQ 2005 all of the PDF files are located. The files beginning with Vol are the database files and are named in chronological sequence with Vol_01_1.pdf being the first issue of 1967 and Vol_38_4.pdf being the 4th issue of 2004. Those files not beginning with Vol are the informational and navigational files to assist you in accessing the data files.
Vol_Menu.pdf is a chronological list of all the data files in the database with links to each of the issues published from 1967-2004.
Contents.pdf is a comprehensive listing, also chronological, of all articles, titles, and authors. Each issue is linked to the first page of the actual published issue. Once you have found what you’re seeking, simply click the link and you and the desired issue will open.
Guide.pdf is the user’s guide which you are now reading.
License.pdf is the agreement by which all users are bound. Accessing any of the files in the database constitutes acceptance of this agreement. Adobe Reader has a separate license agreement which you accept when you install it on your computer.
MainMenu.pdf is simply a navigational file with links to the non-data files on the CD for your ease of navigation.
Cybertec.pdf is a short explanation and information guide. It is not an essential component of the database or navigational structure.
ReadMe.pdf is a short guide to installation and access of the data files.
Each issue of the database is linked back to the Volumes Menu for quick and easy access to all files. Within each issue, each article and section is linked to and from the issue’s table of contents. Within each article, each page is linked back to the first page of the article. In addition, at the bottom of Adobe Reader are arrows that take you to the next, previous, first, and last page of each file. There are approximately 30,000 links in the files to make your access as efficient as possible. As of the 2005 version, the database includes approximately 25,000 pages of information.
SEARCH TUTORIAL
Place the CD in the tray, access your CD drive, install the appropriate Adobe Reader from the CD or by downloading from www.adobe.com, open Adobe Reader, then access any PDF file from the File menu of Adobe Reader. All database files are in the TDQ_2005 folder. Double click this folder, then double-click any PDF file. You can set the magnification to your desired viewing preference at this time. Simply look at the tool bar above the file and set the box that includes the % sign to your choice. You can physically enter a value if the choices do not include your preferred viewing size. In the Reader toolbar is a binoculars icon labeled Search. Simply click this and the search dialog opens. Be sure the box labeled “In the index named TQINDEX.pdx” is checked. THIS IS CRITICAL. If this box is not checked, your search will be substantially slower and less efficient. Once the search results have been returned, set the dialog box just under the search box to “filename” and the results will display in chronological order. The default is “relevance ranking” which is not as efficient for our use. Try all the choices and choose the one that is best for you. Unfortunately, this step must be performed with each search as you cannot change the default. You can search by any variable but the broader the search, the longer it takes and the more results it returns. To ensure your searches are set to maximum results, do a search for “tesol.” You should get a return of 159 files and over 25,500 instances where the phrase “tesol” appears. If not, go to PREFERENCES in the Edit Menu (Adobe Reader Menu in MAC) and reset the maximum results returned box to 200. Experiment with the choices in the search panel. Case sensitive and whole-word only will refine your searches and get you more quickly to your desired result. Failure to do this will return results you do not want. For instance if you’re searching for an author named Ball and you type “ball” in the search box, you will get hundreds of results as ball appears in 139 files. Also, without selecting “Whole-word only” you will get words of which “ball” is a component, such as rollerball, ballast, etc. Spend some time searching for those phrases with which you are familiar until you become comfortable with the process. There is much more detail in the Adobe Reader Help file to assist you. Once the search results are returned, you can expand those results for which more than one instance appears and see the first few words of each. Just click on those most similar to your query and it will take you to the page on which the phrase appears. Keep looking until you’ve found exactly what you want. Your search time will be affected by your system resources. Memory, CPU speed, number of other windows open, etc. will all impact the time it takes to return results. For optimum speed, close as many applications and windows as possible while searching.
Spend as much time as possible familiarizing yourself with the Adobe Reader menu commands and toolbar so you can achieve the maximum usage efficiency of the database. COMPATIBILITY We regret the inconvenience caused to those users without the latest OS. However, it is beyond our control. Adobe chose to not distribute a version of Reader with full search capabilities for MAC until 2004. The early 3.0 version of Reader include a full-search plug-in function that was superior to even the newest versions but it is not compatible with any MAC OS since 8.5. That 3.0 version of Reader was compatible with all Windows OS through XP but it will not function with the newest version of Adobe’s indexing program. Accordingly, we will recreate the older Adobe indexing functions and include a version of Reader on the CD that will allow full-search capability for our customers that have older OS and do not wish to upgrade. It is a significant task but one which we feel is necessary to accommodate our many customers that do not want to incur the expense of a new OS.
